A flower subscription quote describes a recurring service: what you deliver, where, on which dates, at what price and under which terms. It should help the client understand the commitment and the shop understand the work to perform.

An accepted quote binds the parties. A quote is not automatically compulsory for every floral service; obligations depend on the sale and client. This is a commercial outline, not a universal contract ready to sign. References concern France and were checked on 17 October 2026.

Identify the offer and both parties

Include your business and client identity, the quote reference and date, its validity period and useful contact details. Distinguish the ordering business, the approving contact and the delivery address: they are not always the same.

Describe the result and included services

  • Locations and arrangements per visit, sizes and placement.
  • Preferred style or colours, seasonality and agreed substitutions.
  • Whether vases are supplied, loaned or sold, and how they are collected.
  • Delivery, installation, removal of old flowers and any maintenance.
  • Access, agreed delivery windows, contact and excluded tasks.

A photo can illustrate a style; say whether it is indicative or shows the exact arrangement being sold. “Seasonal flowers” does not replace a clear size or understandable result. Make extras and delivery charges clear before agreement.

Set a verifiable delivery calendar

Write the dates or frequency rule, start date, duration and exclusions. Explain closures, public holidays, requests to move a visit and absences. “Every week” and “four times per month” do not mean the same annual number of visits.

Separate unit price, contract total and payment dates

Fictional example for the calendar above, before VAT according to the florist’s tax position. These are not market prices.
ItemAssumption
Price per visit, including delivery€90 excluding VAT
Planned quantity13 visits
Period total€1,170 excluding VAT
January: 4 visits€360 excluding VAT
February: 4 visits€360 excluding VAT
March: 5 visits€450 excluding VAT

The price before VAT, applicable VAT and tax-inclusive total, or the appropriate treatment under your regime, must agree. When offering smoothed instalments, state their number, amount and relationship to the service. Avoid a monthly price that leaves the delivery quantity unspecified.

Build your price from costs and the agreed calendar

Specify duration, changes and ending the service

  • Start date and fixed duration or agreed continuation terms.
  • How changes are requested and any resulting price is agreed.
  • Pauses, rescheduling, cancellations and ending the service.
  • Loaned containers, maintenance and possible damage.
  • Applicable contract documents and acceptance method.

Adapt the terms to business or consumer sales, the sales channel and the exact service. Do not automatically copy wedding terms or another shop’s agreement. Seek review of clauses about renewal, price changes and cancellation consequences.

Distinguish the quote, invoice and payment

The quote presents the offer; it does not replace the invoice. In France, business-to-business transactions require invoices. If using periodic invoices, check the conditions for grouping operations and applicable payment terms. Service Public specifies a maximum of 45 days after issue for periodic invoices, subject to applicable special rules.

Specify invoice frequency, due dates and agreed payment methods. Check current references before reusing tax wording: this guide provides no universal VAT statement. A quote or invoice PDF does not by itself establish compliance with France’s electronic invoicing reform.

Review the quote alongside the schedule

  • Do arrangement and location quantities match the price?
  • Can the included delivery dates be identified?
  • Do totals, taxes and instalments agree?
  • Are delivery, vase-loan and rescheduling terms visible?
  • Can the client identify the version being accepted and retrieve the documents?

In Flolya, prepare the subscription terms and quote, then track deliveries in the same workspace. Clients view documents through their secured portal. If the subscription is already agreed, you can also start managing it without sending a new quote. The module is in beta; your chosen information and terms must fit the service and client.

Frequently asked questions

Is a quote always compulsory for a flower subscription?
Not automatically for every floral service in France. The sale context and client situation determine the obligations. A detailed written offer is useful for defining a recurring service.
What should the monthly price cover?
Specify the included visits or agreed calendar, arrangements, delivery and included services. For smoothed payments, explain instalments and how interruptions are handled.
Can a quote replace an invoice?
No. They serve different purposes. In particular, French business-to-business operations are subject to an invoicing obligation.
