Floral decoration quote: costs, example and request template

From bouquets to installation: what to tell your florist and how to compare the scope of each proposal.

Published by FlolyaA floral decoration quote lists arrangements, quantities and prices, together with services such as delivery, installation, equipment rental and dismantling. To receive a relevant proposal, share the date, venue, areas to decorate, visual references and overall budget with your florist.
For a wedding, reception or corporate event in France, comparing only the final price can hide differences in scope. This guide helps you prepare an enquiry and review the response. The example is fictional: it illustrates a budget structure, not an average market price or a Flolya offer.
What should a floral decoration quote include?
Ask for a description of each arrangement or area. A line labelled ‘venue decoration’ is difficult to assess without quantities, dimensions and coverage. Images establish a visual direction; the written quote defines the work being offered.
| Item | Details to request |
|---|---|
| Bouquets and accessories | Quantities, sizes, colours and types of personal flowers |
| Tables and buffet | Number and volume of arrangements, containers and space for catering |
| Ceremony and large installations | Arch, aisle, entrance or hanging design: dimensions and actual floral coverage |
| Rentals | Vases, structures and supports, rental period and return arrangements |
| Delivery and installation | Locations, access windows, handling and setup included |
| Dismantling and collection | Timing, removal of decorations and collection of equipment |
The quote should also identify the business and client, event date and location, amount due and offer validity. Check payment terms, options and exclusions. France’s consumer authority, the DGCCRF, explains that an accepted quote commits the parties: clarify the scope before accepting.
How is floral decoration priced?
The design and the conditions of delivery both affect cost. Eight low centrepieces require different work from a hanging installation, even if the flower quantities look similar. Compare creative choices and the services included.
- Flowers and foliage: varieties, quantities, availability on your date and possible substitutions.
- Design scale: dimensions, density, visible sides and supporting structures.
- Working time: design, workshop preparation, installation and dismantling.
- Logistics: distance, trips, stairs, loading access and venue schedules.
- Equipment: purchased or rented containers, supports, maintenance and returns.
An illustrative wedding floral decoration quote
Imagine a reception with eight tables, one bouquet, two buttonholes and a ceremony arrangement. The tax-inclusive amounts below are fictional assumptions chosen to show how items add up. Workshop preparation is included in the arrangements; venue installation is separate so it is not counted twice.
| Item | Quantity | Unit price incl. tax | Total incl. tax |
|---|---|---|---|
| Bouquet | 1 | €180 | €180 |
| Buttonholes | 2 | €15 | €30 |
| Table centrepieces, excluding vase rental | 8 | €85 | €680 |
| Freestanding ceremony arrangement, supports included | 1 | €450 | €450 |
| Table vase rental | 8 | €15 | €120 |
| Delivery and installation | 1 package | €180 | €180 |
| Dismantling and equipment collection | 1 package | €90 | €90 |
| Illustrative total | €1,730 |
This is not a complete quote ready for acceptance: it omits contact details, the tax breakdown and terms for an actual event. If vase rental requires a security deposit, record the amount and refund conditions separately. An additional arch offered as an option should not be confused with the agreed total.
For florists: a quote template and the information to include
How to request a floral decoration quote
Send the same brief to each florist you approach. State a budget covering the flowers and services you expect, then rank your priorities. This helps the florist suggest a suitable allocation instead of pricing a design outside your budget.
- Event date and type, venue address and areas to decorate.
- Guest count, number and shape of tables, and known dimensions of larger installations.
- Total tax-inclusive budget, specifying whether delivery, setup and rentals must fit within it.
- Colours, style and a few reference images, explaining what you like about them.
- Access, ceremony, reception and collection times.
- Essential items, optional additions and tasks you can handle yourself.
For a corporate event, add setup deadlines before opening, venue rules, brand colours and the client company’s details. For a wedding across several venues, explain travel requirements and who would move arrangements between the ceremony and reception.
How to compare two floral decoration quotes
Match quantities and dimensions
Check the same table count, arrangement sizes and floral coverage. A photograph of a fully decorated arch does not mean that full coverage is included.
Identify missing services
Delivery to the venue entrance may not include setup. Confirm installation, collection, rentals and additional trips before comparing totals.
Clarify substitutions and options
Agree what should be preserved if a variety is unavailable: colours, volume or overall style. Ask for a version containing only the options you choose.
Read the terms before accepting
Check offer validity, payment dates, the nature of the initial payment, cancellation and equipment returns. Have agreed changes recorded in writing.
How to adjust the budget while keeping the design intent
Choose the most important areas first: ceremony, tables or entrance. Then request an alternative with fewer pieces or different formats. Flexibility on varieties lets the florist suggest available alternatives, but seasonal flowers are not automatically cheaper.
Reusing a ceremony arrangement at the reception may work if moving it is technically feasible. Confirm timing, responsibility, transport and any extra charge. Reuse is not an automatic saving when it requires an additional team.
For florists: turn the brief into a costed quote
Start with the requested arrangements, calculate flowers and materials, then add labour and expenses not already included. Separate internal costs from client-facing prices. Flolya lets you prepare compositions and prices, present them in an online proposal and share it through the client portal.
Frequently asked questions
- How much should I budget for wedding flowers?
- The budget depends on the number and size of arrangements, flower choices and logistics. Our fictional €1,730 tax-inclusive example covers eight tables, a bouquet, two buttonholes, a ceremony arrangement, rental and transport. It is not an average: request a quote for your venue and date.
- Is a floral decoration quote free?
- Ask before commissioning the work. France’s DGCCRF explains that outside cases where a free quote is mandatory, a professional may charge for a quote, particularly for travel or detailed studies, provided the client is informed beforehand.
- Are delivery and installation always included?
- This depends on the offer. Ask for the locations, timings, setup, dismantling and equipment collection to be specified. Delivery alone does not describe all those services.
- When should I request my floral decoration quote?
- Once the date, venue and outline of the event are known. The florist can check availability and venue constraints, then refine the proposal under the arrangements agreed with you.
