Wedding florist quote: price the complete project

Turn a wedding brief into a clear proposal that accounts for the work before, during and after the event.

Published by FlolyaTo prepare a wedding florist quote, define the spaces, quantities and venue constraints first. Price the arrangements, then account for preparation, delivery, installation and teardown. The project price needs to cover the work behind the finished flowers.
This guide is for florists pricing a complete wedding. It complements our general quote template. All example prices are hypothetical, not market averages. The regulatory references concern France; adapt tax and contract details to your jurisdiction.

1. Collect a brief you can actually price
An inspiration photo cannot tell you the size of an arch, the number of tables or when your team can access the venue. Confirm the practical details before developing a concept.
- Date, ceremony and reception addresses, and the venue contact.
- Table count, space dimensions, personal flowers and required arrangements.
- Overall flower budget and the couple’s priorities.
- Palette, visual references, preferred flowers and acceptable alternatives.
- Vehicle access, stairs, installation and collection times, storage and venue restrictions.
- Who keeps the flowers, who retrieves vessels and whether pieces will move between spaces.
Summarise the scope in writing: for example, 80 guests, eight tables, one venue, ceremony as the priority, installation completed by 2 pm and collection the following morning. Resolve missing details before costing. An unclear collection plan can hide another journey and several hours of work.
2. Build a recipe for each arrangement type
Record stem quantities, purchase prices, consumables, vessels and production time. Multiply a table recipe by the confirmed table count; cost the bridal bouquet separately. Purchase cost and selling price are different figures.
Include conditioning and expected waste based on your own records. Check supplier availability and pack sizes before promising a variety. If the budget is tight, reduce a specific part of the scope or change the design, then cost the revised plan.
Calculate an arrangement price from its actual costs
3. Count the hours outside production
Map the work from consultation through equipment return. Use person-hours: two florists working for three hours represent six hours. Base your labour cost on your business structure and remuneration needs before setting the selling price.
| Stage | Work to include |
|---|---|
| Before production | Design, consultation, site visit, ordering and receiving |
| In the studio | Conditioning, making, packing and loading |
| At the venue | Travel, unloading, installation and agreed repositioning |
| After the event | Teardown, collection, cleaning and rental returns |
Reusing ceremony flowers needs a realistic transfer plan. Check weight, fragility, timing and the second space. Name the person responsible and include the labour when the transfer is part of your service.
4. Worked wedding quote for 80 guests
These hypothetical selling prices exclude tax. Arrangement production is included in the floral lines. Separate labour covers site operations, preventing the same task from being charged twice. Apply the tax treatment relevant to your business and services.
| Item | Quantity | Unit price excl. tax | Total excl. tax |
|---|---|---|---|
| Bridal bouquet, making included | 1 | €150 | €150 |
| Buttonholes, making included | 4 | €15 | €60 |
| Table centerpieces, making included | 8 | €85 | €680 |
| Ceremony arrangement, making included | 1 | €650 | €650 |
| Vessel hire | 1 package | €100 | €100 |
| Delivery and transport | 1 package | €140 | €140 |
| On-site installation | 6 person-hours | €35 | €210 |
| Teardown and cleaning | 4 person-hours | €35 | €140 |
| Total | €2,130 excl. tax |
This table alone does not establish profitability. Compare revenue with materials, every hour, travel and overheads. The hourly selling price is not take-home pay. Show the applicable tax-inclusive total and any extra charges where required.

5. Present the scope and manage changes
Describe pieces by location, quantity, size and visual direction. Keep detailed recipes as an internal tool while giving the client a clear written scope. Inspiration images support the description but do not replace it.
- Identify the parties, event, dates and locations.
- Include quantities, prices, totals, quote validity and payment terms.
- Distinguish included work, exclusions and optional additions.
- Explain how substitutions and scope changes are approved.
- Obtain written approval of the final version before committing to production.
French DGCCRF guidance explains pricing information and how an accepted quote creates commitments. Check the contractual requirements relevant to your own location and activity.
6. Check delivery before sending
Review team availability, access, vehicles, equipment and collection with the installer. Give any alternative scope its own total. When a client requests changes, recost the affected recipes and hours before sending a revised version.
Flolya lets you organise the event, price recipes and present a client proposal. Keep the brief, priced arrangements and sent version consistent. Your studio still needs to check site details and project-specific terms.

Frequently asked questions
- How do I prepare a wedding florist quote?
- Confirm the brief and venue constraints, price each arrangement recipe, account for preparation and logistics, and present the scope, quantities, prices, terms and applicable total.
- Should installation and teardown be included?
- Their cost must be covered by the project price. Use separate lines or a clearly defined package, and avoid omissions or double counting.
- What is a typical wedding flower quote?
- There is no single budget for every project. Scale, flowers, locations and timings change the cost. The example here demonstrates a method rather than a market average.
- Can ceremony flowers be reused at the reception?
- Yes when the design, timing and transport allow it. Specify who moves them and account for that work.
